Privacy Policy

Effective date: 5 October 2026

This is a draft policy for the Reachline service, prepared for a Ghana-based operation. Before publication, have a Ghana-qualified privacy lawyer verify it against your actual data practices and the Data Protection Act, 2012 (Act 843), applicable regulations, and any current Data Protection Commission requirements. This page is not legal advice.

This Privacy Policy explains how Reachline (“we”, “us”, or “our”) handles personal information when you visit our website, open an account, manage contacts, request sender IDs, use SMS features, or contact support. It should be read with our Terms and Conditions.

1. Information we may collect

  • Account and business details: name, email address, phone number, company name, registration details, business address, and account status.
  • Contacts and message data: recipient names and phone numbers, contact groups, templates, message content, sender names, campaign details, delivery status, provider references, and timestamps.
  • Payments and credits: package selections, payment references, amounts, payment status, and account credit ledger entries. Payment card or mobile-money credentials may be handled by the payment provider rather than stored by us.
  • Technical and security data: session and login information, device or browser details needed to operate the Service, push-notification subscription identifiers if enabled, and security or error logs.
  • Support communications: information you include when contacting us or responding to account and sender-ID reviews.

2. How we use information

We use information to create and administer accounts; provide contact, campaign, and SMS services; submit messages to providers; process payments and credits; review sender-ID applications; provide support; protect the Service; detect abuse, fraud, and security incidents; maintain operational records; and comply with legal obligations.

3. Your contacts and message content

If you upload contacts or submit a message, you are responsible for having the rights, notices, and permissions required to provide that information and send that message. We process recipient information and message content to provide the features you request, maintain sending and delivery records, prevent misuse, and troubleshoot the Service.

4. Legal grounds and responsibility

Where applicable, we handle personal information on grounds such as providing the Service you request, fulfilling legal obligations, protecting the Service and users, and consent where consent is required. The business user who uploads or selects recipients is responsible for determining and documenting the lawful basis for contacting those recipients and for handling their requests and opt-outs.

5. When we share information

We may share information with service providers who help us host and operate the Service, deliver SMS and email, process payments, provide browser or push notifications, or protect our systems. They may process information only as needed to provide their services to us, subject to their applicable terms and safeguards.

We may also disclose information where required by law or valid legal process, to protect users or the public, investigate suspected fraud or security incidents, or in connection with a business transfer. We do not sell personal information as a product.

6. International processing

Some service providers or network operators may process information outside Ghana. Where this occurs, we should apply the safeguards and transfer requirements required by applicable law. Contact us through the support channel if you need information about a particular provider or transfer.

7. Retention

We retain account, contact, campaign, message, and payment records for as long as reasonably needed to operate the Service, provide history and support, protect the platform, resolve disputes, and meet legal or accounting requirements. Retention periods can vary by record type. We should publish specific periods once the operational retention schedule has been confirmed.

8. Security

We use technical and organisational measures intended to protect information from unauthorised access, loss, alteration, or disclosure. No online service can guarantee absolute security. Keep your password private, use a secure device, and tell us promptly if you suspect your account or information has been compromised.

9. Your choices and rights

Depending on applicable law, you may have rights to request access to, correction of, or deletion of personal information, object to or restrict certain processing, withdraw consent where processing relies on consent, or lodge a complaint with the relevant supervisory authority. You can update certain account details in your profile and may contact us for other requests. We may need to verify your identity and may retain information where the law permits or requires it.

For messages sent by a business customer, contact that business about why it contacted you or to exercise rights relating to its recipient list. We will assist with requests that concern our own processing, as required by law.

10. Cookies and browser notifications

The Service uses session-related browser storage or cookies needed for sign-in, security, and core functions. If you enable browser notifications, your browser may provide a notification subscription identifier so we can send account-related alerts. You can disable notifications in your browser or device settings.

11. Children

The Service is intended for businesses and adults acting on their behalf; it is not designed for children. Do not create accounts for children or upload children’s information unless you have specific authority and have met all applicable legal requirements.

12. Changes and contact

We may update this Policy as the Service or legal requirements change. We will publish the updated version here with a revised effective date. For privacy questions or requests, contact Reachline through the support channel shown in your account or on the website. A designated privacy contact and business postal address should be added here before publication.
